Upload a Single Document/File
This information will help you upload a single document (PDF, Word, Excel). Please try not to upload PowerPoint files. If you want to upload more than one document at a time, please see Upload a Group of Documents (Batch Upload).
Click on Collections to expand the menu.
Choose Documents to bring up the documents page. Click add new next to the Manage File page title.
- Choose the Select Files button and select the file from your computer or network drive.
Give the document a title and description that will appear on the page once it is added. You can also add categories and tags to help organize your files. Use the Alternate Title if you need to refer to the document using more than one name. Once you have added the necessary information, click Add File.
Click on Documents in the left menu to see a list of your documents.
Add a Document Using a URL
You can add documents to your site that exist elsewhere on the Internet using the File URL option in the Document collection. When uploading the file, choose the File URL tab of the uploader and specify the current URL of the file. There are two options when loading a file from a URL. One is to copy the file onto our server. Alternatively, you can redirect the download to the URL. This means you will be able to use the file like a file you have in your collection (including it in lists, etc.), but the user will download the file from the source URL you specify. This way, if the source file is uploaded, we will still have the most up-to-date file. This also saves us the storage capacity on our server. This would be useful for a document on the ETF website, for example.
Update a Single Document/File
You can update a document (upload a new version) without having to edit any of the pages it was on. For example, you may have a form posted on your site and you want the URL to stay the same but want a new version to appear. When you have an updated version of the file, complete the following steps and the updated document will appear in all the places where you had linked to your old document. You will lose the old version of the document. (If you want to keep an archive, a better strategy may be to display a document list and use a category or tag to select the documents on that list.)
- On the left side menu, select Collections > Documents to view your list of files.
- Find the file you want to update. If you have many documents, use the search feature on the top right to find the document you wish to update. Click on the file to edit it.
- As of June 2023, the "Drop files here -or- Select Files" options in the Edit File screen do not work. Instead, click on the "browser uploader" link.
- Click on the "Choose File" button in the Edit File screen. Browse for the file that you would like to upload.
IMPORTANT: If the new version of your document has a different filename than the original, make sure to update the filename to match the original version either before you upload it or in the Rename field. (See "Preserve File URLs" below for more information.) - Choose the Update button to save the new file.
Preserve File URLs
By default, your document’s URL will include the filename of the document. This means that if you upload a new file, even using the Edit File page, the file URL may change. To prevent this, change the filename of the document before you upload it, or use the Rename option in the File Upload box.
- Update the file as above.
- Once you update the file, reopen the Edit File page for that file.
- In the Upload box, scroll to the Rename option, and update the filename to match your old URL.
- Choose the Update button to save the new file.
